For a New York home inspection company, their office manager creates a folder for each client that is the client’s last name and job number. Previously, the office manager would have to manually create this folder by remembering this info when typing in the name for the folder. This occasionally lead to typos in the client name and the number. These are tedious and time consuming to track down and correct.

We developed an add-on to their inspection software that automatically creates the folder as soon as the job is scheduled.

This simple fix adds up to a week of productivity over a year, and completely eliminated any time consuming data entry errors.

A quarry company we worked with had two separate software packages for managing their office – one to manage the truck loads and another to send invoices. Each month they would print a list of the hundreds of truck loads, then manually type all the information into the invoicing software. This much data entry frequently lead to mismatch errors that would have to be individually tracked down and correct.

We developed a process of exporting data from the trucking software and importing to the invoicing software. The invoicing software wouldn’t import the data directly, so a program was developed to modify the data for an automatic import.

Our process change not only eliminated errors, but also sped up sending out invoices. Custom software may sound expensive, but this paid for itself in just a few months.

Retail stores are always looking at their daily revenue, and look to compare stores against each other. Our franchise store client would print a report every single day that averaged 100 pages. Reading it was tiresome and spotting trends was very difficult.

A short meeting with management helped to clarify what they were really looking to accomplish when reading this report. We were able to redesign it down to only two pages (yes, two!). We then went a step further and automated running the report, and set it to save to a file that could easily be opened each day.

The obvious savings here is thousands of dollars each year for the massive quantities of paper and toner. Indirectly, the company also saved money because no one had to keep inserting paper or toner, and this also extended the life of their printer.
