A cardiology office in Orlando, FL relies heavily on faxing for both transmission and receipt of patient data to other medical offices, insurance carriers, and pharmacies. Outgoing faxes were printed and then faxed. Incoming faxes were printed by a fax machine and then scanned into a patient’s account. In an average year, over 60,000 pieces of paper would be printed. Individually, one fax wasn’t time consuming, but cumulatively for the year massive amounts of employee time were spent doing nothing but faxing. Because the pages contained HIPAA sensitive information, a professional shredding service was required. These all added up to a significant expense to the business.
While multiple online based faxing services exist, they would have been cost prohibitive to the extreme volume. We implemented an in-house software based faxing system. A spare computer was refurbished and dedicated to handle all faxing. Each employee computer had a virtual printer added that would transfer any printed pages to this fax system for sending. A shared address book eliminated the need to look up phone numbers. Incoming faxes were automatically saved to PDF files that could easily be added to their patient management software.
